Key Responsibility

Assist to the CEO/ DCEO in:

  • Manages the appointment calendar and independently schedules appointments for the CEO/DCEO
  • Directs preparation of records such as agenda & minutes of corporate meetings
  • Handles business travel for CEO/DCEO
  • Prepare payment/ advance request/ Reimbursement….
  • Registers conferences, seminars and special events for CEO/DCEO
  • Maintains efficient communications with related parties and with internal Department Heads and associates to follow up on queries, deadlines, requests and special functions as per CEO/DCEO’s instructions
  • Translate reports and documents, interpreter during meeting and professional discussions
  • Other tasks

Admin tasks:

  • Docs submitting management for Chairman/ CEO/ DCEO for approval
  • Provides assistance and support to visitors to the office in HCM
  • Handles business travel for level Managerial and up, including visas, air tickets, hotel bookings and car rentals
  • Prepares visa applications for visitors (if required) and follows up to be sure they have been processed
  • Process visa applications, work permit and temporary residence card for Expat; business registration certificates, notarized copies, etc
  • Order and gather proposals for purchasing stationery, office tools and other supplies from departments in HCM Office
  • Cash treasurer for emergency expenses at HCM Office
  • Send documents via express delivery (Viettel Ho Chi Minh City) if requested. Receive documentation from GML Port – HCM Office – GML Port
  • Arrange daily transportation from HCM Office  – GML Port – HCM Office
  • Arrange lunch, confirm the number of meals for HCM Office, and compile at the end of the month
  • Collect electricity and water bills from Phu Xuan contractor and Mobifone
  • Confirm the quantity and settle office expenses, including electricity, water, telephone, hotline, management’s phone, internet, express delivery, etc
  • Administrative tasks at HCM Office such as periodic health check-ups, uniform notifications, gifts notification, CJ building announcements, etc
  • Procedures for payment administrative expenses such as flowers, cakes, beverages, etc. at HCM Office
Candidate Requirement
  • Graduated from University
  • Fluent in English in listening, speaking, reading, and writing
  • Good use of common office information software administrative skills
  • Good communication and presentation skill
  • Ability to form good working relationships at all levels
  • Good Planning and Organizing skill
  • Attention to details
  • Enthusiasm, foster pro-activity, team spirit and professionalism
  • Must be able to handle matters of company business with confidentiality and integrity
