After a short time of implementation at Gemadept HO and Gemadept’s port system, the 5S program recorded positive results. The working environment was significantly improved: tidy, clean, and nice. These contributed to build the professional image in the workplace of Gemadept’s employees such as safety, convenience and efficiency.
The 5S program recognized as uncomplicated and low-cost method, could create a high efficiency. Therefore, in 2018, Gemadept Corporation set the goal of "Building a Professional and Happy working environment" towards each employee. 5S was an effective tool chosen by the Board of Directors to direct them show professionalism and efficiency in their daily activities.
With careful preparation steps in terms of resources as well as implementation methods, Gemadept collaborated with an experienced & reputable consultant and established a 5S Department. In order to announce detail plan to all employees, On August 1, 2018, The Kicked-off ceremony of 5S Training program was held at 6 Le Thanh Ton. Following that, the 5S plan was replicated to Gemadept’s port system in Dung Quat, Can Tho, Da Nang, Hai Phong.
The 5S program was divided into two phases. Phase 1 from August 2018 to October 2018 for HO office and from September 2018 to December 2018 at the units. During this period, the 5S program focused on 3S (screening, arrangement, cleanliness) throughout the departments at HO and then this was reviewed and improved. At the same time, the phase 2 was implemented from November 2018 to December 2018 for HO offices and from January 2019 to March 2019 at the units to complete all 5 objectives of 5S. The 5S was also applied from offices, production areas, warehouses to halls, meeting rooms, cafeterias, security guard rooms, site workers …
Along with both the supervision of the 5S Department and the efforts of all employees, the 5S recorded the good results from 3 rigorous evaluations. There were positive changes and changes in just a short time such as: tidy working area; nice office with pictures, trees, etc., that created a sense of comfort and joy for employees; the production area was neatly arranged, tidy and clean. Besides, the greater effect achieved was the employees' sense of self-awareness and responsibility had been raised. Nowadays, from the office to the warehouse or the harbor, all of which were beautiful, tidy and effective working spaces. Gemadept's people also became neat and beautiful, ready in position. Gemadept's 5S was not only shown during working hours, at whole system, but also in extracurricular activities, community-oriented social programs, teambuilding activities. Gemadept's employees still maintained and complied with 5S's requirements on manners, spirit and consensus, in accordance with the slogan: "Gemadept Cohesion – Companion – Dedication and Responsibility"!
After each evaluation, departments and units performing well on 5S were also promptly commended and rewarded in order to motivate and encourage to actively maintain and improve the program.
In addition to the achieved results, the 5S Department also found that there are still many shortcomings that need to be overcome such as: many redundant items and equipment, not yet screened; many boxes, file cabinets, documents, no list or list but contain, contain records, documents with contents, order not in accordance with the list; etc…
In the coming time, in order to improve and develop the 5S program, Gemadept proposed solutions at all levels such as: Head of departments must be more aggressive in the implementation of the 5S program; actively and strengthen in the inspection and supervision; The 5S Board performs unexpected inspection and evaluation of the 5S program: 1 time / month / department …
It can be seen that the 5S program at Gemadept has achieved considerable success as changing the awareness of employees and cooperation, creating a distinctive and effective working culture. In the coming time, Gemadept will continue to maintain and improve the 5S program as a new form of management, so that 5S really penetrates into awareness and is a practical action in each employee of the Group.
